SOFTWARE BILLS · CUSTOMER & REVENUE SYSTEMS

Keep the customer journey. Challenge the software bill.

We help UK businesses assess whether to retain, improve, connect or replace the ActiveCampaign functions they actually use. Where a change makes financial sense, we handle the replacement workflow, data migration, testing and team handover.

We can meet anywhere in the UK by arrangement. A replacement is recommended only if the overall case works for your business.

A better decision starts with the actual bill.

We compare licence spend, duplicated work and the real cost of changing. Released staff time is counted separately from cash saved.

THE DECISION

Keep what earns its place. Change what costs more than it delivers.

01

Keep or reconfigure

Check usage, current settings, unused seats and the features your team genuinely relies on.

02

Connect or simplify

Remove duplicate entry and awkward handovers while keeping a system that still fits.

03

Replace with a plan

Scope a new system only after comparing ongoing costs, transition work, data and operational risk.

Start with the campaigns and automations that generate useful customer actions, rather than a list of competing applications. Retaining or reconfiguring ActiveCampaign may be the better decision if its journeys, segmentation or integrations are essential. Its official contact export guide supports CSV exports but states that contact notes cannot be exported through that route; a contact file should therefore never be treated as a complete migration of the account.

WHERE THE COST HIDES

Follow the work, not just the subscription.

01

Subscriber record to a permitted message

Lists, tags and customer fields can be maintained separately from the evidence that determines who should receive a message. Re-entering records creates work and increases the risk of restoring an unsubscribed contact.

What we check Map subscriber identity, subscription status, suppression evidence and the approved purpose of each message. Test that a proposed workflow honours exclusions before any campaign can be sent.

02

Automation trigger to an accountable handover

A website action starts a sequence, updates a contact and asks sales to follow up. A replacement that copies contacts but misses the trigger or waiting rule breaks that journey.

What we check Document each live trigger, condition, delay, exit and responsible person. Keep valuable journeys, simplify unused ones and test representative outcomes with authorised reviewers.

03

Campaign result to a useful decision

Teams maintain campaign reports and another reporting subscription, then still copy figures into a monthly update.

What we check Agree which campaign measures affect decisions and which history must remain accessible. Assess supported data connections before buying another dashboard or rebuilding reporting.

IMPLEMENTATION & HANDOVER

We handle the move, step by step.

Discovery, data mapping, tests, agreed cutover, training and aftercare belong in the delivery plan. The scope depends on what your team uses today.

Deliverability, consent and the suitability of the replacement need their own checks. A lower subscription does not prove a saving after transition and operating costs, and there is no assumed feature parity.

See how migration and handover work
  1. 01

Inventory active journeys, forms, integrations and sending domains alongside the subscription and renewal commitment.

  2. 02

Test a sample export, match fields and tags, and separately identify notes, history and configuration that the contact CSV does not establish.

  3. 03

Preserve unsubscribe and suppression records; test segmentation, message approval and sender configuration before agreeing a controlled switch.

  4. 04

Reconcile the final records, document access and responsibilities, train the team and approve supplier exit only after the replacement is accepted.

Evidence before the decision.

Supplier documentation helps us find the available export and integration routes. It does not establish that every feature, record or obligation can be moved unchanged.

Product documentation: ActiveCampaign Help: How do I export all contacts? ↗Reviewed 2 November 2026; publication date not stated. Confirm export scope and permissions in your own account before a decision.

Supplier terms: ActiveCampaign terms of service ↗Reviewed 2 November 2026; check the terms applying to your account. Check your signed order and renewal position before exit.
