FOR CHARITY FINANCE, FUNDRAISING & OPERATIONS TEAMS
Less spent on admin. More capacity for your mission.
We help UK charities review software subscriptions and repeated administration across fundraising, finance and operations. We assess the records and handovers behind the cost, then implement agreed improvements with clear ownership of permissions, reporting and restricted funds.
Face-to-face cost reviews available anywhere in the UK by arrangement.

WHERE THE COST HIDES
Start with a real charities workflow.
These are specific starting points for a review. We confirm the actual tools, costs and people involved before recommending any change.
01
Donation record to finance reconciliation
Donation platforms, the supporter database and finance records use different references. Teams manually match transactions and resolve missing fund allocations.
What we’d assess Map transaction IDs and fund codes, connect supported exports or integrations and flag unmatched items. Keep an authorised finance person responsible for reconciliation and any Gift Aid eligibility or submission decisions.
02
Grant activity to funder report
Project teams collect progress in documents while finance keeps expenditure elsewhere. Reporting deadlines trigger repeated requests for the same figures and evidence.
What we’d assess Agree a controlled collection process with named owners, fund references and supporting evidence. Reuse approved records for reporting and route the draft to the responsible person before it reaches a funder.
03
Subscriptions and volunteer administration
Small teams adopt separate mailing, form, scheduling and file-sharing tools. Contact updates and access changes then have to be repeated across them.
What we’d assess Compare useful existing capabilities before adding or replacing software. Simplify approved contact handovers and joiner/leaver actions, retaining permission checks and an accountable person for access decisions.
SYSTEMS BEFORE SOLUTIONS
Keep what works. Challenge what costs.
We compare retaining, reducing, connecting and replacing the tools already in use. The answer depends on what the business must keep doing and the whole cost of delivering the change.
AI and automation are possible delivery methods where they make financial sense. They are not a reason to remove a useful control.
FROM DECISION TO DELIVERY
We handle the changeover.
Start with a small process and reconcile records against the existing source. Map fund codes, supporter preferences, grant references and user permissions before transferring anything. Retain an agreed export and fallback, test reporting totals, train staff and volunteers for their own roles and document who maintains the workflow.
Restricted funds, donation records and supporter preferences need explicit handling. Charity regulation and reporting differ across the UK, so check the requirements that apply to your organisation. Safeguarding and beneficiary casework remain outside an assumed replacement scope. Reduced administration releases capacity; it is not automatically an equivalent reduction in payroll or expenditure.

A USEFUL FIRST MEETING
What we’ll ask you.
Bring approximate costs and an example of the work you want to improve. Detailed records can wait until a scoped review.
01Where do fundraising, project and finance teams repeat the same records?
02Which funds, permissions and supporter preferences must carry through?
03Which subscriptions cost money without adding a capability your team still needs?
LESS COST. CLEARER DELIVERY.
Let’s find the cost worth cutting.
Show us the workflow, the software bills and what must keep working. We’ll discuss a practical next step face to face.
