Information we use
When you use Eden, the messages you submit and recent conversation context are sent to our server and to OpenAI to generate a reply. Keep passwords, bank details, employee records and other sensitive information out of the chat. We save the conversation and Eden’s structured replies in our database so our authorised team can review the exact exchange. A transcript is emailed to our team after you end the conversation or after a period of inactivity. This does not sign you up to marketing emails.
If you request a cost review, we collect your name, email address, optional business name, the cost details you submit and your contact permission. The form may prefill cost details from your messages; you can edit them before sending. We also process technical information needed to run and protect the service, including request identifiers, IP-derived security identifiers, error information and AI usage metadata. Admin sign-in processes the administrator’s email and authentication information.
Why we use it
- To answer chats and business enquiries: our legitimate interests in providing a useful service and, where applicable, taking steps you request before a contract.
- To follow up a cost-review request: your consent, given through the contact checkbox. You can withdraw it by emailing us. This does not affect earlier lawful use.
- To secure the website and admin area: our legitimate interests in preventing abuse and unauthorised access.
- To meet applicable record-keeping or other legal duties: legal obligation.
You can browse without giving contact details. Providing them is voluntary, but we need an email address to reply to a contact request. A cost-review request does not sign you up to a marketing newsletter.
Services that receive information
OpenAI processes chat messages to generate Eden’s answers. Vercel provides website hosting and, where configured, AI request routing. Supabase provides admin authentication, Eden transcripts, enquiry records and operational data storage. SendGrid delivers authentication emails, enquiry notifications and Eden transcripts to our team, including messages sent through the contact form. Only authorised people and service providers who need the information should have access.
On the contact page you can choose to load a Calendly booking calendar, or open its booking page in a separate tab. Calendly handles booking information under its own privacy notice. Google Fonts supplies the homepage typeface and receives the technical information needed to deliver font files. These external services may process information outside the UK. Contact us for details of the countries and applicable transfer arrangements for your information; do not assume every service stores data in the UK.
How long information is kept
Conversation transcripts, enquiry records and related emails are kept for the time needed to handle the request and any resulting work, taking account of ongoing discussions, legal record-keeping needs and possible disputes. Security and operational records are kept according to their troubleshooting and abuse-prevention purpose. Provider logs and backups can have separate retention periods. The conversation list is held in browser session storage and usually clears when that browser session ends; closing the page does not delete the saved server transcript or emails already sent. Email us to ask about a particular record or request deletion.
Your rights and complaints
Depending on the circumstances, you can request access, correction, deletion, restriction or portability of your personal information, and object to processing based on legitimate interests. Contact us using the details above; we may need to confirm your identity. Rights are subject to the conditions and exceptions in applicable law.
You can also raise a concern with the Information Commissioner’s Office (ICO). Please give us the opportunity to address your concern too.
AI, storage and updates
Eden is an AI assistant. It does not make decisions with legal or similarly significant effects about you, and its responses require human judgement. See our Cookies & storage notice for browser storage. We update this notice when our use of information changes.
