ACADEMY TRUSTS / LESS DUPLICATION ACROSS THE TRUST
One trust. Fewer duplicated costs.
We help academy trust finance and operations teams examine software bills and repeated administration across schools. Start with purchasing, supplier records and management reporting: keep local accountability, remove avoidable duplication and agree how any change will be delivered.
Face-to-face cost reviews available anywhere in the UK by arrangement.

WHERE THE COST HIDES
Start with a real academy trusts workflow.
These are specific starting points for a review. We confirm the actual tools, costs and people involved before recommending any change.
01
Trust-wide subscription visibility
Schools buy overlapping tools through different budgets. Renewal dates, licence owners and actual use can be difficult to compare.
What we’d assess Create a shared subscription register, reconcile licences with usage and test whether a trust agreement, fewer seats or an existing platform can meet the need.
02
Purchasing and approval handovers
Requests travel from school inboxes into central spreadsheets and finance systems, with repeated questions about authority and budget.
What we’d assess Map delegated approvals, capture the request once and connect authorised records to finance where supported. Keep an audit trail and a clear exception route.
03
Reporting without repeated returns
Central teams chase similar information from every school, then consolidate versions by hand.
What we’d assess Agree common definitions and a controlled collection workflow. Reuse approved source data and flag missing or inconsistent entries for a named person to review.
SYSTEMS BEFORE SOLUTIONS
Keep what works. Challenge what costs.
We compare retaining, reducing, connecting and replacing the tools already in use. The answer depends on what the business must keep doing and the whole cost of delivering the change.
AI and automation are possible delivery methods where they make financial sense. They are not a reason to remove a useful control.
FROM DECISION TO DELIVERY
We handle the changeover.
Pilot with one school and a central process owner. Check delegated authorities, school and trust access, historic approvals and record retention before extending the workflow. Reconcile transferred records and train both local and central users; schedule cutover around the trust calendar.
Academy trust arrangements here refer to England. Procurement, finance and data-protection responsibilities need checking against the trust’s current requirements. Safeguarding, pupil records and core MIS remain outside an assumed replacement scope; specialist approval is required before any proposed interface or change.

A USEFUL FIRST MEETING
What we’ll ask you.
Bring approximate costs and an example of the work you want to improve. Detailed records can wait until a scoped review.
01Which subscriptions are bought centrally and which are bought by individual schools?
02Where do school-office teams enter the same information for the trust?
03Who owns approval rules, data access and acceptance at each school?
LESS COST. CLEARER DELIVERY.
Let’s find the cost worth cutting.
Show us the workflow, the software bills and what must keep working. We’ll discuss a practical next step face to face.
