FOR INDEPENDENT GARAGES, DEALERSHIPS & SERVICE TEAMS

Less workshop admin. More time on the job.

We help UK garages, dealerships and automotive service businesses review software costs and reduce repeated customer and workshop administration. Start with the information copied between a booking, a job card, an estimate and an invoice; keep the specialist systems needed to inspect, diagnose and repair vehicles safely.

WHERE THE COST HIDES

Start with a real automotive workflow.

These are specific starting points for a review. We confirm the actual tools, costs and people involved before recommending any change.

01

Booking to the workshop job

A phone or web enquiry is written into a diary, copied into a garage system and repeated on a job card. Changes to contact details or the requested work do not always reach every record.

What we’d assess Assess one controlled booking record and a supported handover to the job system. Confirm the customer, vehicle and requested work with a person; give the workshop a clear record of subsequent changes.

02

Estimate to customer approval

Service advisers chase an estimate approval across calls, emails and messages, then separately update the workshop. It can be difficult to establish which work the customer authorised.

What we’d assess Review an approval workflow linked to the correct job and estimate version. Send appropriate reminders, record the response and route questions to a service adviser before work proceeds.

03

Completed job to invoice and reminder

Accounts re-enter completed work, while reception maintains separate lists for collection messages and future service reminders. Overlapping messaging or reporting subscriptions add another running cost.

What we’d assess Map the supported route from an approved completed job to accounts and customer communication. Reconcile invoices, review duplicate tools and check consent and contact preferences before any reminder is sent.

SYSTEMS BEFORE SOLUTIONS

Keep what works.
Challenge what costs.

We compare retaining, reducing, connecting and replacing the tools already in use. The answer depends on what the business must keep doing and the whole cost of delivering the change.

How we review software costs

What we would map with you

  • Garage management and dealer management systems
  • Booking diaries, job cards and estimate approvals
  • Accounting, payment and parts records
  • Customer messaging, CRM and reporting subscriptions

AI and automation are possible delivery methods where they make financial sense. They are not a reason to remove a useful control.

FROM DECISION TO DELIVERY

We handle the changeover.

Pilot an agreed reception or accounts workflow before changing a workshop-wide process. Map vehicle and customer identifiers, job history, attachments and authorisations; test duplicate records, reopened jobs and amended invoices. Reconcile exports, agree fallback access and train reception, workshop and accounts users before cutover.

KEEP THE RIGHT PEOPLE IN CONTROL

Vehicle safety decisions, MOT processes, specialist diagnostics and repair authorisation remain with the responsible people and approved systems. We do not assume these can be replaced. Customer histories, vehicle information and messaging permissions need an agreed access and retention plan.

A USEFUL FIRST MEETING

What we’ll ask you.

Bring approximate costs and an example of the work you want to improve. Detailed records can wait until a scoped review.

  1. 01Where are booking or vehicle details typed more than once?
  2. 02Which garage, CRM and messaging subscriptions overlap?
  3. 03How is customer approval recorded and passed to the workshop?

LESS COST. CLEARER DELIVERY.

Let’s find the cost worth cutting.

Show us the workflow, the software bills and what must keep working. We’ll discuss a practical next step face to face.
