SOFTWARE BILLS · CUSTOMER & REVENUE SYSTEMS

Keep the pipeline moving. Challenge the recurring spend.

We help UK businesses review HubSpot costs and the sales pipelines and customer follow-up they need to retain. We assess reconfiguration, integration or a scoped replacement, then handle agreed data migration, testing and team handover.

We can meet anywhere in the UK by arrangement. A replacement is recommended only if the overall case works for your business.

A better decision starts with the actual bill.

We compare licence spend, duplicated work and the real cost of changing. Released staff time is counted separately from cash saved.

THE DECISION

Keep what earns its place. Change what costs more than it delivers.

01

Keep or reconfigure

Check usage, current settings, unused seats and the features your team genuinely relies on.

02

Connect or simplify

Remove duplicate entry and awkward handovers while keeping a system that still fits.

03

Replace with a plan

Scope a new system only after comparing ongoing costs, transition work, data and operational risk.

A replacement should be justified by the real sales process and total ongoing cost, rather than the number of features on a comparison chart. Retain HubSpot where its connected marketing, sales or service work provides the stronger value. HubSpot’s official record export guide describes current property values and associations; activities such as calls and notes require separate export routes, so a basic record file is not a complete sales history.

WHERE THE COST HIDES

Follow the work, not just the subscription.

01

Enquiry to an owned opportunity

A form creates a contact but someone still copies the request into a deal, task sheet or quoting tool. Follow-up depends on knowing which system is current.

What we check Map contact, company and deal relationships, source and next action. Assess supported transfers and ownership rules so enquiries reach a responsible person without repeated entry.

02

Sales activity to an accurate next step

Calls, notes and tasks explain why an opportunity is at its current stage. A contact-and-deal export can leave that context behind.

What we check Define the activities, attachments and history salespeople need. Test the appropriate export or API routes, preserving identifiers and an agreed way to find older evidence.

03

Won deal to delivery and finance

Accepted scope and customer details are recreated in project or finance tools. The business pays for several systems while still checking handovers manually.

What we check Agree the record that authorises delivery, the required fields and the commercial approval. Compare connecting the current CRM with replacing only the unsupported workflow.

IMPLEMENTATION & HANDOVER

We handle the move, step by step.

Discovery, data mapping, tests, agreed cutover, training and aftercare belong in the delivery plan. The scope depends on what your team uses today.

Replacing a defined CRM workflow does not establish parity with every HubSpot hub. Subscription commitments, permissions, export access and connected services must be checked against the account before a recommendation.

See how migration and handover work
  1. 01

Inventory the hubs, pipelines, custom properties, forms, workflows, integrations and account commitments actually used.

  2. 02

Test record and association exports alongside the separate activity routes needed for calls, notes and history; map identifiers before importing.

  3. 03

Reconcile open deals and test enquiry capture, follow-up, permissions and won-deal handover with the relevant teams.

  4. 04

Agree final data transfer, a controlled switch, training and ownership; authorise supplier exit after the required workflow and archive are accepted.

Evidence before the decision.

Supplier documentation helps us find the available export and integration routes. It does not establish that every feature, record or obligation can be moved unchanged.

Product documentation: HubSpot Knowledge Base: Export your records ↗Updated 2 April 2026; reviewed 2 November 2026. Confirm export scope and permissions in your own account before a decision.

Supplier terms: HubSpot customer terms of service ↗Reviewed 2 November 2026; check the applicable order form. Check your signed order and renewal position before exit.
