01Define the balance being compared
Physical stock, available stock, reserved quantities and goods in transit describe different things. A warehouse balance and an online available-to-sell quantity may correctly differ. The comparison needs agreed item codes, locations, units and timing before a difference is treated as an error.
02Account for the movements
Receipts, dispatches, returns, transfers and authorised adjustments explain a balance over time. Reconciliation checks whether each movement arrived once in the expected system. Late updates and unit conversions need to remain distinguishable from missing or duplicated movements.
03Review and approve a correction
A named inventory owner reviews unexplained differences against source records or a physical check. A proposed adjustment includes its reason, evidence and approval. Correcting one system blindly to match another can conceal the problem and create a new mismatch downstream.
