01Read an order into a draft
Orders can arrive through forms, email, PDFs or customer portals. Capture the source and customer reference alongside proposed line items. Where document extraction or AI is useful, keep its output as a draft until the required identifiers and values pass agreed checks; a plausible description is not a verified product code.
02Validate against business records
Match customer accounts, product identifiers, units, quantities, delivery details and the authoritative pricing source. Check whether the customer reference has already been received. Flag unknown products, unusual units or conflicting prices rather than silently selecting the closest match.
03Create once and acknowledge clearly
Use a stable submission identifier so a repeated import cannot create a second order. Record the destination reference and distinguish received, reviewed and accepted states. Acknowledgements should reflect the business’s approved acceptance process, including stock, credit or commercial checks where required.
