ORDERS & OPERATIONAL HANDOFFS

Reduce proof-of-delivery paperwork

Proof-of-delivery administration can be reduced by matching delivery evidence to the correct order and sending missing or disputed records to a named reviewer. We help UK businesses connect that handoff so office teams spend less time searching photographs, messages and delivery notes.

Meet us face to face anywhere in the UK by arrangement. We start with your actual records and costs.

What makes this costly?

Repeated entry, missing evidence and unclear ownership consume working time. Only a genuine reduction in outgoing spend counts as cash saved; released staff time is capacity.

TRACE THE HANDOFF

Find the point where work stalls.

Follow a real example through the people, records and systems involved. These are the checks that make this problem different from a generic automation project.

01

Capture against a delivery

A driver or delivery partner supplies a note, photograph, signature or carrier reference. The useful record includes an order or consignment identifier, delivery event and time, plus enough context to distinguish a full delivery from a part delivery. A file name alone is a weak matching key.

02

Match the evidence

Office staff compare the evidence with the order, customer and delivery lines. One order may have several drops and one vehicle may carry several orders. The workflow needs to preserve those relationships instead of attaching every document to the first similar customer name.

03

Release the next action

Accepted evidence becomes available to the authorised service or finance team. Missing items, damaged goods, an unreadable document or a disputed delivery stay visible with an owner. Receipt of a file should not itself authorise an invoice, close a dispute or confirm that every item arrived.

A PRACTICAL CHANGE

Keep the useful systems. Remove the avoidable work.

We assess what can be improved or connected before recommending a replacement. The implementation is agreed around real constraints.

01

Start with actual delivery records

We review an agreed sample of clean, partial, failed and disputed deliveries. We map the order identifier, carrier reference and evidence location, and check which existing dispatch or accounting tools can already receive a supported link.

02

Build a controlled matching queue

A suitable connection or portal brings the evidence together, checks required fields and flags uncertain matches. People review discrepancies. Access is limited to the roles that need the records, with retention and deletion rules agreed for personal details in photographs, signatures and addresses.

03

Test the field and office handoff

We test delayed uploads, repeated submissions, multiple drops and attachments that fail to arrive. The team agrees an offline fallback and who clears the queue. We reconcile a bounded pilot before an agreed cutover, then provide training, record ownership and rollback instructions.

BRING TO THE REVIEW

Decide with evidence, not a guessed saving.

These records help us establish a baseline, identify who owns the decision and estimate which outgoing costs could actually change.

  • Anonymised delivery notes and attachments, including a partial delivery and a disputed example.
  • Order, consignment and carrier reference fields and examples of failed matches.
  • The checks required before finance or customer service can use the evidence.
  • Access roles, device and connectivity constraints, and documented retention needs.

MIGRATION & OWNERSHIP

Make the new handoff safe to use.

Map record ownership and dependencies. Test a bounded workflow with real exceptions, agree cutover and fallback, then train the people responsible. Keep the existing tool where it still serves the business well.

How we manage a changeover

Decisions that stay with your team

  • Keep an unmatched attachment in a review queue rather than guessing the order.
  • Record delivery quantities and exceptions separately from a simple delivered status.
  • Escalate a dispute to the responsible person; automated extraction is not a decision on liability.

Access, retention and information security are scoped with the people accountable for them.
